Dr Greenthumbs is a fast-growing, independent hydroponic/organic gardening retailer with an extensive range of in-house products. Dispatch is central to how we win: when orders go out fast and right, customers come back, and the business grows.

We’re hiring a Dispatch Coordinator who takes pride in accuracy, follows systems, and enjoys improving the way work gets done.

This is not an entry-level role. You don’t need to have had the exact job title before, but you do need strong operational habits: pace, accuracy, ownership, and consistency.

How this role works day-to-day

You’ll work closely with our Dispatch Coordinator (promoted to Stock Control) during onboarding and day-to-day operations — especially on our busiest dispatch days early in the week.

Right now, this role is primarily about running dispatch to a high standard and improving execution — not people management. As we scale, we expect to add more warehouse staff, and there’s a clear pathway into more senior dispatch leadership.

Key responsibilities

You’ll help run a dispatch function that is consistent, accurate, and calm under pressure:

  • Run picking/packing to standard with multiple micro-checks
  • Maintain our current dispatch rate of under 18 hours from when the order is placed.
  • Minimise damage through correct packing methods and carrier requirements
  • Daily “pre-flight” before 9am: identify address/OOS/packing issues early and coordinate with Stock/Production managers
  • Execute clean paperwork and error reporting
  • Handle freight-only customer communication when required (address fixes, ETAs for OOS/delays) — clear and respectful

  • Dispatch runs smoothly with you operating confidently and autonomously alongside the team
  • First-time ship accuracy ≥99% with damage <1%
  • Median order-to-tracking ≤16h
  • You proactively trigger workflows to Stock/Production when discrepancies appear

About you

Must-have

  • Strong transferable operations skills: discipline, accuracy, pace, reliability
  • Coachable and adaptable (new products/packaging/workflows don’t throw you out)
  • Comfortable with Shopify / Google Workspace / Trello / courier portals (or you learn fast)

Highly desirable (not essential)

  • Dispatch, pick/pack, warehouse, inventory/stock control experience
  • Experience working to accuracy and time targets.
  • We value work ethic, learning speed, and ownership above perfect experience match.
